Student Domestic Payment process automation

UQ is improving how payments are made to students!

The Student Domestic Payment project is introducing a new UniTask workflow that will streamline the way requests and financial approvals are created and processed. This will replace the current manual, time‑consuming steps and deliver a more consistent experience for both staff and students.

As part of the initiative, new technical components and integrations will be developed with UQ’s existing partners to enable an end‑to‑end, automated payment disbursement. Importantly, UQ will no longer collect student payment details directly. Instead, the new process will allow students to securely provide their own PayID, facilitating near real-time payment and creating a smoother and more efficient payment experience.

The project will begin with a focused rollout, supporting AUD payments to Australian bank accounts for identified processes. This staged approach will help ensure a stable transition while laying strong foundations for future expansion.

This work is a great opportunity to simplify current administrative processes and make the experience easier for everyone involved.

    • Student payment details are no longer emailed or stored by local areas, significantly reducing the chance of privacy breaches.

    • Staff follow a simple, guided workflow; students provide payment details directly in a secure portal — no more email exchanges or chasing missing information.
  3. Reduction of repetitive tasks
    • This removes multiple review and manual processing stages within Transactions and Payment Services, lowering workload and eliminating associated risks.
  4. Stronger, auditable approval trail
    • Budget Holder and financial delegation approvals are captured securely in‑system, improving accountability and reducing approval‑related risks.
  5. Future-ready infrastructure
    • The approach supports future expansion, reuse for other payment types, and stronger alignment with UQ’s digital and financial governance principles.

Timelines

Work is currently underway to review the process and design the new payment infrastructure that will support an end‑to‑end automated payment experience.

The project team is aiming for a go‑live in the second half of 2026. Further updates will be shared once the timeline is confirmed.
